1583 USPS form
Because agCube handles, for its customers, mail forwarded from the US Postal Service, USPS classifies agCube as a Commercial Mail Receiving Agency (CMRA). Consequently, it is mandatory for agCube to have, for each customer, a USPS 1583 document by which the customer entitles agCube to act as an agent on the customer's behalf for that purpose.
Prior to any service being delivered to a customer, agCube must therefore have received from this customer the original 1583 form (no email, no fax) filled out, signed by the customer and notarized.
Notaries can be found at US Consulates, embassies, as well as many other convenient locations. Two separate forms of identification are required.

You will then print it, fill it out and have it notarized.
You will have to mail us the original form: faxed or e-mailed forms will not be accepted. This is because USPS must have your original signed 1583 form before delivering any mail for you to our place. We will deposit this original form at the post office and keep a copy at our office for USPS inspection.

A notary is a licensed official who will verify your identity and provide an official stamp on the USPS Form 1583. This stamp (in English or the local language) is required by the United States Postal Service in order for us to receive your mail.
In the US, a notary public is a person appointed by the state government, who will acknowledge that the signature on the 1583 form is your own. You can have your 1583 form notarized in many places (banks, public offices, lawyers, etc.).
To find a notary, if you are outside of the United States, it is easiest to call your country's US Embassy. If one is not available, it is acceptable to find a local official, such as an attorney or bank official, who can provide a similar stamp.
In order to validate your 1583 form, the notary will require that you provide two types of identification. Acceptable forms of ID when visiting a notary include:
Customer's account
Each customer has an agCube account which is updated when the customer credits the account or when a particular service is charged.
Credit card installments are effective as soon as the payment has been authorized by the customer's card issuer (usually in a few seconds if the payment is made online). If an installment is via check or wire, the installment will only be considered effective when the corresponding amount has been credited on agCube's bank account.
Users should credit their accounts (by wire, check or credit card payment) before ordering any service from agCube. Any service requested from agCube will then be charged to the user's account.
Users whose balance has become negative cannot order any additional services until they have restored a positive balance with an installment.
Your service feature will be performed as soon as your account balance is greater than or equal to the announced fee for the corresponding operation.
Registration of a new mail item is a charged service. Therefore, if a user has a negative account balance, no new mail item will be registered for this user: incoming mail will be kept pending until the balance has become positive again.

Members, however, do not need to have a sufficient advance posted on their account to request an agCube service. The cost of the service is entered on the member's current invoice.
Members have a month-to-month membership contract for which they pay a monthly fee. This monthly fee entitles them to a standard package of services the cost of which is covered by this membership fee. If they order more services than included in the membership fee or services not covered by the standard package, members will be billed for these services, as described above, with lower fees than if they were just users.
Users on the other hand have no other commitment with agCube than the payment of the current operation being ordered.
If you intend to use agCube services just one time or quite irregularly, you will probably choose to register as a User. But if you are going to use our services regularly, you will prefer to be registered as a Member: you will thus benefit from lower fees and from a flexible and comfortable way of paying for agCube's services.
A Member has an allowed overdraft which is a credit line that agCube grants to the Member.
Unless otherwise stated, this allowed overdraft is equivalent to two monthly fees. Thus the account balance of a Member can become negative but should not go below the allowed overdraft.
How is my mail handled?
When you register with agCube, you immediately obtain your agCube personal address:

PMB stands here for private mailbox: it is a secure place reserved for the storage of your mail.
The PMB number is part of your agCube address, helping us to identify the mail items which are delivered for you at our address. However, don't worry: if a piece of mail arrives for you at our address without any PMB number on the envelope, we will manage to identify it properly and lock it in your PMB!
You can use USPS Change Of Address (COA) service to have all your mail forwarded to your agCube personal address. You have to fill in the COA form and send it to your local post office.
You can also give your agCube personal address to your contacts (friends, suppliers): they will use this address and you will get your mail faster online.
Every business day, we collect the mail for our customers. Each incoming mail item is properly identified by our team with a unique item-id: PMB/ReceptionDate/SequenceNumber and this item-id is printed on the item, before this item is securely locked in your PMB. This unique item-id will appear on your computer screen when you view your PMB and it will be used to properly identify the items which are involved in the services you will request (scan, open, forward, etc.)
For each piece of mail, the information entered indicates sender, type of mail (letter, magazine, etc.), date of arrival, description, weight and, if it is a package, the dimensions.
Document deletion is always performed using a shredding device. To protect our customers' privacy, we use cross-cut shredders (documents are shredded in two directions, down and across): this ensures that the document information cannot be pieced together again.
When you request an item to be trashed, this item is kept in your physical PMB for one working day and it will appear in your trash-bin, which you can view with the my_trash option of the my_account menu. You have 24 hours to decide wether you would like to restore this item.
As soon as the item is physically deleted (via the shredding device), the item is removed from your trash-bin and can no longer be retrieved.
Mail items for customers are usually weighed when received at agCube's location. However, for a letter or postcard item which does not exceed one ounce, the weight is only sized up as "less than or equal to 1 ounce" and called the default estimated weight (DEW). For all these letters, the weight will appear as "<= 1oz" when you view your PMB on our web site. When actual weight is given, it appears in pounds (lbs) with decimal form (2.5 lbs = 2 pounds and 8 ounces).
The weight information will help you decide which carrier mode to choose for shipping. We will also use it to compute the estimated shipping costs that will appear on our web site when you request a shipping service.
To have a mail item scanned, just select it while viewing your PMB and click on the OPEN button.
Within 24 hours (working days), the item will be extracted from your PMB, opened and the contents will be scanned. As soon as it is done, you will be notified by e-mail.
Your PMB will then show a pdf file with the full content of this item. You will be able to print this file or upload it to your personal computer.

Grouped Forwarding involves packing up several mail items together and forwarding them to a particular destination address. The mail items can be letters, postcards or magazines. Packages cannot be grouped with a GRfwd service.
The corresponding fee covers the handling and packing but does not include the carrier costs (which depends on carrier, carrier mode, destination address, weight and dimensions). The fee for Grouped Forwarding is higher than the fee for Single Forwarding, but not so much and, even by grouping only two pieces, you will usually save on overall costs (handling + shipping). When a mail item is received and registered for a customer, the storage costs for the first month are included in the registration fee, unless the mail item is heavy or bulky (above 0.5 lb).
If after one month, the customer has not requested the item to be either forwarded or trashed, the mail item is kept in the PMB and a monthly charge applies. Back to top |

Login to your agCube account: you will see your PMB showing the new registered mail. For each piece of mail, the information given indicates type of mail (letter, magazine, etc.), date of arrival, and – when available on the wrapping – sender, description, weight and, if it is a package, dimensions. You are then able to order service features for these items: forward, delete or open. Of course your PMB also shows the other mail items which were recorded before and, if you ordered services for these previous items, the status of your orders. Back to top |

Viewing your PMB, you check the mail items you want to have shipped and you press the "forward" button. You can either select a single piece of mail (single forwarding) or many of them (grouped forwarding, to save costs). Note however that packages cannot be grouped. After mail item selection, you will chose the destination address which can be your default address or any other address you may specify. Depending on destination (domestic or international), you will be asked to choose a carrier and a carrier mode and you will get an estimation of the carrier's costs. As soon as you confirm your order, your request will be processed, depending on your customer status (user or member). When your shipment is commenced, you will be notified by e-mail and given a tracking number (if the carrier mode you selected provides one). Back to top |
Our Services
agCube's services are provided either when needed (mail registration, mail storage) or upon customer request (forwarding, scan, trash). The pricing is based upon unit prices (ONE mail item registration, ONE page scan, etc.) and the corresponding units are called basic services.

A mail item (or piece of mail) is a letter, a postcard, a magazine or a package.
When a piece of mail is received for a customer, this item is identified, analyzed (size and weight), registered in agCube's database, and then stored in the customer's physical PMB (Private Mail Box).

Here, we hold a piece of mail in your PMB until you decide to forward or delete it. For basic mail items, this service is free for the first storage month. If the item remains in your PMB for more than one month, a monthly fee applies. There are different fee levels, depending on the weight and dimension of the item.

When you look at your PMB, you can order a single item to be shipped (single shipment – MIfwd) or you can select several mail items to be shipped together to the same destination address (grouped shipment – GRfwd). Packages cannot be grouped.
You choose the address among the various addresses you have registered in your account or you can specify a new destination address. The corresponding fee covers the handling and packing but does not include the carrier costs (which depend on carrier, carrier mode, destination address, weight and dimensions). When you order the shipment, the carrier costs are only estimated. They are confirmed when the shipment has been executed and your account balance is updated accordingly. Back to top |
Member Benefits and Fees

A mail item (or piece of mail) is a letter, a postcard, a magazine or a package.
An basic mail item is a postcard or a letter with a weight not over 1 oz. The package of prepaid services of the member monthly fee includes only standard services. Standard services are services in a form which does not depend on mail item weight or file size: services for basic mail items or document files with up to 20 pages. The various services are: – mail item registration (MIreg), – mail item physical storage(MIsto), – mail item shipment (single or grouped), – letter opening and scanning (resulting in a pdf file), – pdf file storage, – mail item deletion.
